Code Of Conduct

A Code of Conduct is a set of rules outlining the norms, rules, and responsibilities or proper practices of an individual, party or an organization. It is a document that outlines an organisation’s standards, principles, expectations and morals. A well-written code of conduct clarifies an organization’s mission, values and principles, linking them with standards of professional conduct. The code articulates the values the organization wishes to foster in leaders and employees and, in doing so, defines desired behaviour.

The responsibilities of the code of conduct are to identify, incorporate, and monitor adherence to the code of conduct in campus whenever necessary.

Code of Conduct for the Principal

The Principal, being one of the highest authorities of the College, should be honest, fair, objective-oriented, supportive of all constructive administrative and academic activities, protective and law-abiding and exhibit dynamic leadership in guiding students, faculty and administrative staff.

Responsibilities expected from the Principal are highlighted below:

For effective execution of the Mission and Vision of the college, the Principal needs to

  • Formulate plans and chalk out policies that would focus on educational endeavours leading to the overall upliftment of the institute.
  • Creating a conducive environment for effective teaching and learning and adopting quality initiatives for enhancing various teaching-learning processes that would ultimately focus on the overall development of students.
  • Ensure that all the staff (teaching, non-teaching) as well as the students are aware of the rules and policies laid by the institute in line with the updated State Government and University Grants Commission guidelines.
  • Promote the consultative work culture in the college, paving the way for innovative thinking and ideas.
  • Adhere to a responsible pattern of conduct and demeanour expected of them by the community.
  • Conduct oneself with transparency, fairness, honesty and a high degree of ethics and decision-making that is in the best interest of the college.
  • Teaching Learning processes and any other developmental activities of the College.

Code of Conduct for the IQAC Co-ordinator

As an Internal Quality Assurance Cell (IQAC) Co-ordinator in a higher education college listed with the National Assessment and Accreditation Council (NAAC), the Code of Conduct aligns with the principles of integrity, transparency, accountability, and professionalism.

Integrity: To uphold the highest ethical standards in all activities related to IQAC responsibilities.

Transparency: To ensure that all processes and decisions within the IQAC are transparent and accessible to relevant stakeholders.

Accountability: To take responsibility for the effective functioning and outcomes of the IQAC, including adherence to established policies and procedures.

Professionalism: To maintain a professional demeanour and cultivate positive relationships with colleagues, students, and external stakeholders.

Compliance: To ensure compliance with all regulations, guidelines, and standards set by NAAC and other relevant authorities.

Continuous Improvement: To strive for continuous improvement in the quality of education and institutional processes through data-driven analysis and feedback mechanisms.

Collaboration: Foster collaboration and teamwork among IQAC members and other departments to achieve institutional goals related to quality enhancement.

Confidentiality: Respect and maintain the confidentiality of sensitive information obtained in the course of IQAC activities.

Conflict of Interest: Disclose and manage any potential conflicts of interest that may arise in the execution of IQAC duties.

It’s essential to tailor these guidelines to the specific context and requirements of any institution and it is the super most duty of the NAAC Coordinator to ensure that they are communicated effectively to all relevant stakeholders.

Code of Conduct for the Vice-Principal

Responsibilities are enlisted as under:-

  • The vice principal co-operates and functions under the guidance of the Principal, aiding in the holistic development of the college.
  • Plays a significant role in admission processes, attendance and disciplinary-related matters.
  • Extends all the support and guidance in the academic activities of the institute.
  • Works in coordination with the principal in supervision of activities of various extension services.
  • Supervises and coordinates public relations.

Code of Conduct for the Students

SSGians are to act as responsible citizens and members of a higher education academic community. Each student is responsible to know, observe, abide by, and adhere to the College students’ code of conduct, policies, rules, and regulations. Students must comply with all policies applicable to conduct in the classroom as well as in the campus. The college endeavours using this code to pioneer and administer a student discipline process that is democratic, diligent, effectual and prompt; providing a system that promotes student growth through individual and collective responsibility.

The medium of communication in the campus is Hindi and English .

The code takes into consideration the conduct of the students both on and off college grounds if it affects the reputation of the College.

Students may raise matters of concern either directly to the college staff or through writing anonymously.

General Rules :

  • Students should be courteous with their fellow students, the staff and the visitors.
  • Avoid using offensive language and mishandling the infrastructure.
  • Inform the member of the staff about the misconduct of fellow students.
  • Dress appropriately and be punctual to college.
  • Be honest and prompt in their academic activities. Bullying and harassment are not tolerated.
  • Be free to approach the staff if they feel they are bullied. Even banter can be perceived as bullying.
  • Wear ID cards all the time they stay in college and must show when asked.
  • Report lost or stolen identity cards to a member of staff immediately and get a new card.
  • Take care of their personal belongings.
  • Report suspicious packages or items.
  • Not engage in, encourage, condone or conceal criminal activity.
  • Treat resources and facilities belonging to the college with respect.
  • Shah Satnam Ji Girls’ College is a ragging-free campus. Ragging is banned inside and outside the college. There will be zero tolerance for ragging.
  • Any involvement in drug peddling or usage of drugs will lead to severe disciplinary action including dismissal from the College.
  • The usage of cell phones within the college building is prohibited.
  • Students should possess all necessary documents about their vehicles.
  • There should be complete silence in the corridors during class hours. Students must not loiter in the corridors during class hours.
  • The Campus must be kept clean at all times. Littering, defacing the walls or desks, damaging college property etc. are offences. Every class, under the guidance of the class leader, will be responsible for the cleanliness of the room allotted.

Dress Code

Students are expected to conduct themselves worthily in their dresses, and demeanour and be committed to upholding the value system of the college.

The dress code is completely formal on Monday, Tuesday, Wednesday, Thursday and Saturday for undergraduate students. There will be informal dress code on Fridays.

For Postgraduate programmes, the dress code is completely Informal.

Girls:

Salwar Kameez with Dupatta, Western formals (formal shirt and formal trousers)

On Friday, undergraduate students can wear an informal dress (Decent ) shirt, trousers, and salwar kameez with a dupatta.

Students should be groomed and dressed modestly in conformance with the Department/programme requirements.

A uniform suit is to be worn as per the specification of the respective department.

Attendance and Leave Regulations

  • Every student is required to have 75% attendance in every subject to be permitted to take the examinations. Attendance is taken separately for each period and is mandatory for the current affairs and club activity sessions.
  • Submission of duly filled leave form is compulsory after availing leave. The form must be signed by the Parent / Guardian. It will be verified by the class monitor and recommended by the Head of the Department.
  • The leave application should be submitted within three days of reporting to the college after taking a leave.
  • All leave applications must clearly state the roll number, class, name and subjects taken as well as the names of teachers teaching those subjects.
  • In case of medical leave, the application form, supported by a medical certificate issued by a registered medical practitioner with a doctor’s registration number, has to be submitted to the Respective Authorities.
  • Students who are absent for one full semester or more at a stretch without prior permission are liable to have their names removed from the rolls.

Code of Conduct for Teachers

A teacher has the greatest responsibility of imparting quality education to the youth andultimately contributing towards building a strong foundation for the nation. A teacher is constantly under the scrutiny of not just the students but also society at large and thusrealises the significance of the Best Practices and she must comply with these.

Responsibilities and Accountability:
  • Teachers should handle the subjects assigned to them by the Head of the Department.
  • Complete the syllabus on time.
  • Carry out other academic, co-curricular, and exam- related duties and organizational activities that may be assigned to them from time to time.
  • Sign the attendance register while reporting at duty.
  • Teachers are expected to be present in college campus at least 10 minutes before it starts.
  • Teachers are barred from using cell phones while taking classes and while supervising examination work.
  • Teacher should adhere to the rules and regulations, policies and procedures outlined by the institute.
  • Respect the rights and dignity of a student in expressing his/her opinion.
  • Understand the difference in aptitude and capabilities of students and strive to meet their individual needs.
  • They should be in proper Uniform.
  • They should make individual Planner for effective Curriculum Delivery.
  • They are advised to keep accurate attendance record of their students and complete their registers within the stipulated time.
  • They must maintain the record of all departmental and academic activities.
Leave:
  • Leaves are sanctioned as per the guidelines of regulatory authorities.
  • Prior written permission is required from the Principal/HOD at least a day in advance while availing Casual Leave or Duty Leave.
  • A maximum of 12 days of Casual Leaves can be availed in one academic year.

Responsibilities of Librarian:

  • Create and distribute library cards to students.
  • Receive demand slips from students and give books to students as per their demands and library rules.
  • Withdrawal of books given to students and staff members.
  • Issue and receive books from students, staff; following the entire process made by College authority.
  • Pay attention to the problems of the staff members, if any, and resolve them promptly.
  • Keep day-wise records of student/staff faculty visits in the library.
  • Compile the requirement of books and periodicals and to submit them to the Principal for further purchase.
  • Take care of library automation and updation from time to time.
  • Must handle any other matter assigned by the Principal from time to time.

Code of Conduct for Non-Teaching Staff

All the non-teaching staff need to discharge their professional responsibilities according to the existing rules and adhere to procedures and methods. They must

  • Be available at all times during the college hours.
  • Discharge all duties as instructed by the respective authorities while maintaining a disciplined decorum.
  • Maintain respectful attitude and hierarchy in the administration.
  • Exhibit courtesy and maintain cordial interaction with teachers, students, parentsand visitors.
  • Maintain honesty and fairness in all the activities/work assigned.
  • Not misuse any official documents/receipts.
